Fees for commercial stallholders:
There is no booking fee for charities or non-profit groups.
The fee for commercial stallholders includes a 50% deposit to be paid once the application is approved.
Once the 50% stall booking deposit has been paid the booking is considered confirmed (see below for cancellations).
Please ensure you have booked the correct size pitch, checked the fee and paid the correct deposit for your stall, as it may not be possible to change the booking once it has been made if all stall pitches have been filled.
You must inform the organiser of the nature of your business and what items you plan to sell at the Fair at the time of booking.
All ‘food’ stalls must provide the following at the time of registration:
Food Hygiene Registration Documents
Public Liability Insurance Certificate
Gas Risk Assessment if using gas
Fire Risk Assessment if using cooking equipment
All stalls that are not selling food must supply Public Liability Insurance on registration.
Any stall who has not provided the required documentation 14 days prior to the event may forfeit their stall unless is there is a valid reason.
You must inform the organiser prior to the event whether you will require vehicle access to your stall to set up or de-rig your stall.
No vehicles are to be left on site with the exception of catering vehicles. Vehicles must have vacated the event at least 1 hour prior to the Fair (ie. by 9:00am) opening for public safety and may not return until the event closes. Catering vehicles must be registered at the time of booking with details of size.
Vehicles driving on site must be accompanied by a member of the security team or a steward wearing a high vis jacket, and must not travel at more than 10mph at any time. Do not use flashing hazards when driving, but please do use indicators to signal where you will be turning.
If you will require a ‘chiller trailer’, ‘additional storage space’ or seating at the front of your stall please inform us at the time of booking.
Electricity Requirements must be given at the time of registration, failure to provide these details when registering may result in you not having the correct supply to your stall for the duration of the event.
There are refuse bins on site for rubbish created during the event, however we request that all cardboard boxes used for bringing stock to the event are removed and taken to be recycled at your place of business or your home as they take up a large space in the bins. Any large cardboard boxes placed in the bins or left by the bins may incur an additional charge to your business as we have to pay an additional charge to have them removed.
Stalls may bring their own gazebo for their stall which may be no bigger than 3m x 3m in size, unless a Double pitch (6m x 3m) or Extra Large (6m x 6m) pitch has been booked. All gazebos must be weighted down and secured prior to the event for public safety and will be checked by the Fair Organising Team. Should the gazebo not feel safe or secure the Fair Organising Team reserve the right to ask for it to be removed.
Standalone Tables are available to book, for which the fee is £50. Tables for stalls are not supplied as standard. Should you require tables you may request them at registration, there may be an additional hire fee.
Waste and Table Cleaning – As the food area is shared among multiple businesses, all stall holders are expected to do their ‘fair share’ of cleaning tables and removing refuse. Please ensure you bring cleaning supplies and the correct PPE so that your staff may remove refuse and clean tables at frequent intervals.
Litter Picking – Please ensure that at the end of the day and at the end of the Fair, you have litter picked your area for food, packaging, cable ties and any other items of rubbish.
Food Hygiene for Food Stalls - The Food Hygiene Officers from local boroughs do visit these events so please ensure before you book your pitch that you are able to meet Event Food Hygiene Regulations, as if they arrive and you don’t meet them you will be asked to leave immediately.
Allergy Folders – Please ensure if you are selling food or drink that you have your allergy folder on site at all times and clearly label products to ensure that you are allergy safe.
No Glass Sales – The Fair is a glass-free event, meaning no glass can be served or sold to a member of the public. Food and drink vendors should be plastic-free where possible.
Cancellation Policy – As with all events we have to work to a tight budget. Therefore we have a cancellation period, and after this period we are not able to refund full deposits. Please see below to ensure you know your cancellation period before booking.
